What Happens to a Missed Call? Missed-Call Text-Back, Explained

You're on a ladder, under a sink, with a client, or driving. The phone rings and you can't get to it. What happens next decides whether that call becomes work.
What usually happens
The call goes to voicemail. Some people leave a message. A lot of people don't. They hang up and call the next business on the list, and that business picks up.
By the time you call back, an hour or an afternoon later, they've often already booked someone else. You never find out that call was a job.
What missed-call text-back does
It's a simple idea. When a call to your business number goes unanswered, the caller gets a text from that same number within seconds, something like:
"Hi, this is Martin's Plumbing. Sorry we missed your call. We're on a job right now. What can we help you with? You can reply here, or book a time: [link]"
That does three useful things:
- The caller knows they reached a real business that noticed them.
- They have something to do other than call the next number: reply, or book.
- You get their need in writing, so when you call back you already know what it's about.
It doesn't replace answering the phone. It covers the moments when you can't.
What a good text-back message looks like
Keep it short, human, and useful:
- Say who you are. The caller may have called three businesses in a row.
- Ask one question, like "What can we help you with?", so replying is easy.
- Offer a way forward: a booking link, or when you'll call back.
- Mention your hours if it's after closing, so they know when to expect a real person.
Avoid anything that sounds like a robot, a sales pitch, or a wall of text.
Three things to get right
- 1.Someone has to read the replies. The text is the easy part. The point is the conversation it starts. If replies sit unread, you've just made a second way to miss a customer. Decide who checks them, and how often.
- 2.Business texting has to be registered. In the U.S., the phone carriers require businesses texting from a regular local number to register that texting, a process called A2P 10DLC. Unregistered business texts can be filtered or blocked before they ever arrive. A proper setup handles this for you, but it takes some time, so start early.
- 3.Only text the person who called, about their call. A text-back is a reply to someone who just contacted you. It isn't permission to add them to promotions. Include a way to stop messages, such as "Reply STOP to opt out", and honor it.
Is it worth it for you?
If you regularly can't get to the phone, because you're on jobs, with customers, or running the place alone, it's one of the simplest fixes there is. If someone is always at the desk to answer, you'll get less out of it, though it can still cover after-hours calls.
One thing to know: a call from a landline can't receive a text. Those callers still get your voicemail, as they do now.
